Shared purchase programs

Let the chapters, regions, or teams under your organization order and pay for their own gift stock from one shared program page.

What it's for

A shared purchase program is a single ordering page where the sub-organizations under your organization — chapters, clubs, regions, or teams — each order and pay for their own supply of gifts from the same curated set. One national or parent organization sets up the program once, and each group places its own order and covers its own cost.

It's ideal when many groups run the same gifting but each manages its own budget and quantities: a national association whose chapters each buy year-end gifts, a franchise whose locations each order client gifts, and so on. The word for a participating group ("Chapter", "Club", "Region", "Team") is chosen when the program is set up.

Shared purchase programs are set up with your Giftium team on a gift campaign. This article explains how they work and how your groups order; your Giftium contact handles the configuration.

How your groups order

Each group visits the program's public ordering page (a giftium.app/order/… link) — no login required — and:

  1. Enters an access code, if the program uses one. A program can be an open link, use one shared code for everyone, or give each group its own code.
  2. Picks their group by searching for it, or adds a new one if it isn't listed yet.
  3. Chooses their gifts and quantities from the 1–3 gift boxes in the program, and picks how they want them fulfilled (see below).
  4. Sets up notecards, if the program includes them — using the recommended message or their own, depending on what the program allows.
  5. Pays by card or by requesting an invoice, and gets an order confirmation with a downloadable receipt.

A group can place more than one order; the orders combine under that group.

Fulfillment options

Depending on how the program is set up, a group may choose to:

  • Have Giftium warehouse and ship the gifts as they're needed,
  • Ship everything to the group at once, or
  • Use a mix of both.

Shipping may be charged at checkout, billed when gifts ship, or included in the gift price — the program's page shows which applies.

Paying

Groups pay for their own orders, either by card at checkout or by choosing Invoice me. Once an order is placed, that group's gifts become available to send. From there, the group manages and sends its own gifts like any other gift inventory.

What you see

Because each group's order becomes gift inventory on the campaign, the activity rolls up to you the same way other gifting does — you can see what each group ordered and sent. If the program is set to review newly added groups before fulfillment, those orders are held for a quick check first.

Rules and limits

  • Groups order from the gift boxes the program offers, and pay for their own orders.
  • New groups added during ordering may be held for review before their gifts ship, if the program requires it.
  • Card payment requires card payments to be enabled for the program; otherwise groups order by invoice. Ask your Giftium contact if you're unsure which applies.
