Groups and your organization hierarchy
How groups nest beneath your organization, what each group can manage on its own, and how to add one.
What it's for
Giftium organizations can be arranged in a hierarchy. A company sits at the top, with regions, offices, teams, advisors, or other groups underneath. Each group is its own account: it can have its own people, budgets, assignments, and branding, within whatever the parent organization allows. Gifting activity rolls up the hierarchy, so a parent organization sees activity for everything beneath it.
The levels themselves, and what they are called, are set up by Giftium with you. Your own terminology is used throughout the app, so the page might say "Advisors" where another organization's says "Regions."
The Groups view
On the Team page, the Groups view (named with your word for that level) lists every group beneath your organization. Each row shows:
- Name, with the trail above it, for example "Northwestern Mutual › Virginia," so it is always clear where a group sits.
- Level, in your organization's terminology.
- People: how many people belong to it. Click the count to see them.
- Primary contact: the group's admin.
- Network: for organizations that use networks, which network a group belongs to, or the networks a group is affiliated with. Someone in your network who is based in another group appears in your list too, with a note saying which group they work from.
From a row you can open the group's Branding (logos, colors, fonts, and notecards, subject to the permissions your organization has set) or Add under it.
Adding a group
Groups are created from the same Add form as people. Enter the person who will run the group, switch on Create a separate team for them, choose where it sits, and confirm the name. That person becomes the group's admin and receives a sign-in link.
You can add a group under your organization or under any existing group whose next level is already in use. If a level has not been set up yet, ask Giftium and it will be added for you.
Funds from a network
If your organization uses networks, a network can assign funds to a group it serves. That money is set aside for the network's own advisors in the group; nobody else in the group can spend it. When you send a gift or check out and more than one pool of funds could pay for it, you'll be asked which to use. Left alone, the most specific money is used first: network funds, then campaign funds, then your general balance.
Organizational Data
When your organization has groups, an Organizational Data page also appears in the sidebar. It is a read-only rollup of gift holdings and spend for your organization and everything beneath it.
Rules and limits
- Only admins can create groups.
- Level names are managed by Giftium so they stay consistent across your organization.
- Groups are a Team feature. Individual accounts include a single user and no groups.
