Prepaid funds

Learn how prepaid funds work, including how funds are added, allocated to groups or users, and applied at checkout.

What prepaid funds are

Prepaid funds are money your organization loads into Giftium before gifts are ordered. They allow gifts to be paid for without using a card at every checkout. The balance lives at the organization level and can be made available to groups and individual team members through allocations.

Where you see them

  • Dashboard: the home page shows your organization's prepaid balance and, if one has been set for you, your personal allocation.
  • Allocations: admins manage prepaid funds from Internal Allocations in the sidebar. The prepaid balance card shows the total balance, how much is still unallocated, and the low-funds warning threshold.
  • Checkout: when you order from the Ready-to-Ship Gift Shop, the quote shows the funds available to you. This can include your own allocation plus funds inherited from your organization. Available funds are applied before a card is charged.

Common tasks (admins)

  • Add funds: add money to the organization's prepaid balance from the prepaid balance card.
  • Allocate funds: assign annual dollar caps to child organizations or team members from the unallocated balance. See Allocations.
  • Set a low-funds threshold: choose the balance level that should trigger a low-funds warning.

Rules and limits

  • Funds are applied automatically at checkout before any card charge. If funds do not cover the full order, the remaining amount is charged to a card.
  • An allocation is a cap, not a transfer. Spending against an allocation draws down the organization's prepaid balance and counts toward the allocation's used amount.
  • Allocations run on an annual period with an end date.
